Nature of Position:

The Administrative Assistant at Community Living – Grimsby Lincoln & West Lincoln (CLGLWL) plays a pivotal role in ensuring the smooth operation of the organization by providing comprehensive administrative support across all departments. This position involves a diverse range of tasks including managing communications, organizing events, handling reception duties, and maintaining office supplies. The ideal candidate will be detail-oriented, highly organized, and proactive in managing multiple tasks simultaneously. They will also engage with social media platforms to create posts and utilize tools like Canva and Mailchimp for marketing purposes. This role requires excellent communication skills, both oral and written, and the ability to work collaboratively in a team-oriented environment.

 

Responsibilities and Duties Include, but are not Limited to:

 

  • Provide a variety of administrative support to all agency departments as assigned.
  • Perform administrative duties to include but not limited to typing, data entry & database management, preparation of spreadsheets, assist with organizing events, file management, photocopying, records management, mailing, preparation of eye-pleasing print and electronic materials.
  • Reception duties for the front desk including but not limited to answering and prioritizing phone calls.
  • Main point of contact for incoming and outgoing deliveries, incoming/outgoing mail, parcels, courier services, and shredding services.
  • Assisting with committee and event management including setup, planning, and committee involvement.
  • Community liaison for various initiatives throughout the year.
  • Centralized purchasing, maintaining adequate office and kitchen supplies and equipment inventory, and ensuring that the photocopy area and the staff kitchen are organized and cleaned up when required.

 

Required Skills, Education, and Knowledge:

 

  • Grade 12 and a recognized Administrative Assistant diploma or equivalent.
  • Extensive knowledge in a general office work environment.
  • Excellent oral and written communication skills.
  • Proven planning, organization, and time-management capabilities.
  • Detail-oriented with the ability to take initiative, establish priorities, plan ahead, manage multiple tasks/projects, and meet deadlines.
  • Creative problem-solving and decision-making skills.
  • Inclusive team player.
  • Advanced computer experience and skills in the use of MS Office Suite.
  • Experience working with social media platforms to create posts.
  • Proficiency with platforms such as Canva and Mailchimp for creating marketing flyers, newsletters, etc.
  • French or bilingual is an asset.
  • A valid G Driver’s License.
  • Vulnerable Sector Police Clearance.
